What a compliant invoice in United States must include

  • Your name (or business name) and address
  • Client name and billing address
  • Unique invoice number
  • Invoice date and due date
  • Itemised list of goods or services with quantity & price
  • Subtotal, applicable state/local sales tax, total
  • Payment terms (e.g. Net 30) and accepted methods
  • Optional: W-9 reference if you are a 1099 contractor

Sales tax — only when you need it

Most US freelancers selling pure services don't collect sales tax. If you sell taxable goods or digital products in your state, set the Tax label to your state ("CA Sales Tax", "TX Sales Tax", etc.) and enter the right rate. The tool applies it after any discount.

Net 30 / Net 14 payment terms

Add "Net 30 — late payments incur 1.5% per month" to the Notes section. Set your Due date 30 days out and we'll show it prominently on the PDF.

1099 contractors

If you're an independent contractor, add your W-9 reference number to the Notes field so your client can match it to their year-end 1099-NEC filing.

Frequently asked questions

Do I need to charge sales tax on freelance services?
In most US states, services are not taxable — but a few (Hawaii, New Mexico, South Dakota, West Virginia) tax most services. Always check your state department of revenue or talk to a CPA.
What payment terms should I use?
Net 30 is the US standard for B2B. Many freelancers use Net 14 or "Due on receipt" for new clients to limit late-payment risk.
Can I send this invoice to a US client from outside the US?
Yes. The tool supports USD formatting, US date formats, and any address — your country of residence does not affect how the invoice is generated.
